We seek a highly organized and strategic Executive Assistant to support our leadership team and ensure smooth operations.
Job Summary
This position reports to the Chief Executive Officer (CEO). The Executive Assistant provides comprehensive administrative support and coordinates the activities for the CEO. The Executive Assistant will work closely with the CEO, to translate high-level ideas into actionable plans and drive their execution. This role is suited for a proactive, detail-oriented individuals with Executive Assistant experience and a passion for organization and efficiency.
Key Responsibilities
- Executive Support: Serve as the primary point of contact for the CEO, efficiently filtering and prioritizing communications. Manage the CEO’s schedule with a keen eye on prioritization and time management to ensure optimal use of the CEO’s time.
- Strategic Collaboration: Collaborate closely with the CEO to translate high-level strategic concepts into actionable plans. Ensure these plans are communicated clearly across the organization to align all departments and team members.
- Report and Presentation Preparation: Assist in the preparation of reports, presentations, and correspondence for the executive team, ensuring that all materials are polished, accurate, and aligned with company standards.
- Task Delegation and Coordination: Assist the CEO in delegating project-related tasks, ensuring that all team members understand their responsibilities and deadlines. Regularly follow up on these tasks to ensure timely completion and provide progress updates to the CEO.
- Project Documentation: Maintain comprehensive documentation of all ongoing projects, including project plans, status reports, and meeting notes, ensuring that all records are up-to-date and accessible.
- Meeting Coordination: Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items to ensure they are completed as planned.
- Correspondence Management: Handle all correspondence directed to the CEO, responding to routine matters independently and routing non-essential issues to relevant senior staff. Ensure that actions are followed up as required.
- Schedule Management: Coordinate and manage the CEO’s schedule, keeping the CEO informed of appointments, commitments, and potential conflicts. Proactively identify and resolve scheduling conflicts to ensure smooth operations.
- Meeting Support: Provide support for high-level meetings by editing, copying, and assembling reports, as well as taking meeting minutes when necessary.
- Drafting Communications: Draft memos, letters, and emails on behalf of the CEO, ensuring that all communications are clear, professional, and reflect the CEO’s voice and the company’s standards.
- Routine Inquiries: Answer questions and handle routine matters, acting as a gatekeeper for the CEO, and ensuring that only essential issues are escalated to the CEO’s attention.

Qualifications:
- Experience: At least 2 years of experience as an Executive Assistant or in a similar administrative support role, with a demonstrated history of providing high-level support in a dynamic environment.
- Administrative Expertise: Proficient in administrative practices, including coordination, planning, and office management, ensuring seamless operations within the company.
- Technical Proficiency: Strong working knowledge of project management tools, with experience in Notion being a distinct advantage. Ability to quickly adapt to new technologies and systems.
- Communication and Organization: Exceptional communication, systematization, and organizational skills, with an emphasis on maintaining accuracy and attention to detail in all tasks.
- Multitasking: Proven ability to manage multiple priorities effectively in a fast-paced environment, demonstrating flexibility and agility in response to changing needs.
- Confidentiality: Must be able to maintain the highest level of confidentiality concerning company information, especially given the sensitive and confidential nature of matters under review by the Chief Executive Officer.
